Job Description:

Responsibilities:

 

Payroll

  • Manage 2nd.MD’s payroll system and payroll processing and train employees on proper use.
  • Comply with tax recordkeeping and filing requirements.
  • Maintain up-to-date knowledge on changing payroll developments and payroll developments and payroll tax laws.
  • Assures compliance with federal, state, and local legal requirements by reviewing existing as well as new related legislation; enforcing adherence to requirements; advising on needed actions.
  • Responsible for processing multi-state biweekly payroll accurately and timely.
  • Calculates retroactive pay, assures timely commission and bonus processing, as well as sign-on bonuses and employee recognition incentives.
  • Conducts audits regularly of payroll reporting and timekeeping information to ensure accuracy as well as meeting compliance requirements.
  • Oversee processing of garnishments and other required payroll deductions, including child support garnishments, medical support orders, QDRO, etc., in accordance with law.
  • Assure employee e-file and any hard copy information is maintained confidentially, with access assigned properly. Oversee storage of hard copy information.
  • Determines payroll liabilities, balances payroll accounts by resolving payroll discrepancies.
  • Maintains payroll guidelines and SOP's by writing and updating policies and procedures.
  • Maintains employee confidence and protects payroll operations by ensuring information is kept confidential.
  • Review time sheets to detect and reconcile payroll discrepancies.
  • Process all required payroll data, including time sheets, W-2 forms, direct deposit, and tax filing documents.

Benefits

  • Maintain current knowledge of benefits laws and regulations, and update practices and systems accordingly; provide in-house expertise.
  • Act as primary liaison with all benefits brokers and third party administrators (TPA’s) to select, renew and modify all employee benefit plans.
  • Develop and maintain systems and materials for communicating information about benefits to employees for purposes of education and compliance with notification requirements.
  • Conduct orientation and ensure enrollment of employees into the appropriate employee benefit plans and process employee benefit changes.
  • Promote employee benefit plans and wellness.
  • Manage the annual open enrollment process for health and welfare benefits.
  • Manage employee leave programs including FMLA, STD and LTD.
  • Provide COBRA continuation of benefits in accordance with ERISA.
  • Maintain benefit files including plan documents, plan forms and summary plan descriptions.
  • Administer unemployment claims payments.
  • Manage annual 401(k) audit engagement.
  • Administer 401(k) plan including processing contributions, matches, requests for withdrawals, true up and discretionary contribution eligibility processing.
  • Liaison with broker on group benefits administration, including accurate and timely reporting of new hires, terminations and Section 125 changes.

 

General Responsibilities

  • Assist employees with Health and Welfare benefit questions or inquiries.
  • Assist in managing the Wellness Program for all eligible employees.
  • Critically review and analyze current payroll, benefits, and tax procedures and associated compliance in order to recommend and implement changes to ensure continuous process improvements.
  • Ensure Form I-9/E-Verify compliance by conducting audits of new hires; follow up on soon to be expired documents.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, attending webinars, etc.
  • Maintain critical dates and activity calendar.
  • Ensure the timely processing of new hires, transfers, promotions and terminations into HRIS.
  • Oversee employee wage statement data and information is completed per workers' compensation guidelines.
  • Other duties as assigned by management.
Qualifications:
  • HS diploma, prefer BA/BS or equivalent.
  • Payroll certification a plus.
  • 5+ years of direct experience in a Payroll Administrator role preferred, inclusive of group benefits administration.
  • Strong in Microsoft Word, PowerPoint and Microsoft Excel.
  • Excellent attention to detail, organized and strong multitasker with good time management skills.
  • Possess sound financial acumen.
  • Possess good communication skills, both oral and written.
  • Able to present educational information to groups, including members of management.
  • Experience administering employee benefit plans, including 401(k) administration, required.
  • Experience and familiarity with HR systems including performance management, applicant tracking, document control.
